Your responsibility as an office manager is to oversee the administrative activities that facilitate the smooth running of an office, organising people, information and other resources

You’ll ensure that office equipment is maintained to the appropriate quality and quantity, relevant records are up to date and all administrative processes work effectively.

Types of Office manager

In a small organisation you may carry out most of the tasks yourself, while at larger organisations you could supervise the work of a team. Job titles vary and alternatives include:

* business manager
* administrative manager
* operations manager

Responsibilities

As an office manager, you’ll need to:

* use a range of software, including email, spreadsheets and databases, to ensure the efficient running of the office
* manage online and paper filing systems
* develop and implement new administrative systems, such as record management
* record office expenditure and manage the budget
* organise the office layout and maintain supplies of stationery and equipment
* maintain the condition of the office and arrange for necessary repairs
* organise and chair meetings with staff – in lower-paid roles this may include typing the agenda and taking minutes, but senior managers usually have an administrative assistant to do this
* ensure adequate staff levels to cover for absences and peaks in workload, often by using temping agencies
* delegate work to staff and manage their workload and output
* promote staff development and training
* implement and promote equality and diversity policy
* write reports for senior management and deliver presentations

Salary

Typical starting salaries may range from £18,000 to £30,000.
With experience, salaries can rise to between £30,000 and £50,000.
Office manager positions in areas such as the NHS and higher education will usually follow a grading structure.

Working hours

Although you’ll typically work normal office hours, you may have to do shifts or be on call. As crimes may happen at any time, you must be prepared to work evenings and weekends to either process and investigate scenes of crimes or to examine the findings from them.

What to expect

* Work is usually office based. The size and style of the office will depend on the organisation you work for. For example, you may have an office to yourself or share with a team in an open-plan office.
* Jobs are available in towns and cities throughout the UK. There may also be opportunities with smaller businesses in rural locations.
* In most posts, smart, professional dress is expected, particularly in customer-facing roles.
* The work can be challenging, as you’re often responsible for meeting targets and deadlines, as well as disciplining staff.

The role of office manager isn’t usually an entry-level position, and you’ll typically have previous administrative or managerial experience, often in a related sector, before taking on the job.

Once you’re in post and have some experience, you may take on extra responsibilities, such as managing more staff or taking on more senior management responsibilities.

Alternatively, you could manage a different office in the organisation, which has a larger workforce or carries more responsibility. For example, you may move from managing a small team in the finance section to managing the whole finance department.

Once you have gained experience in the role, there may be opportunities to step up into senior management and progress further to head of department. Bottlenecks can occur for senior posts, particularly when there are several office managers within an organisation. Developing a specialist area, such as finance, human resources or strategic development, can help.

The role of office manager can also be a good stepping-stone to the role of chief of staff. In this position, you would typically provide effective management and leadership in all areas of administration, staffing and personnel with responsibility for project management and completion. Course Assessments - How will I be assessed?

The Business Administration (Level 3) course at Open Learning College is designed to provide a comprehensive and flexible learning experience. Unlike traditional exam-based courses, our course is marked through a process of continuous assessment, which is guided by your personal tutor.

This means that you won’t have to worry about memorising information for a final exam. Instead, you will have the opportunity to learn at your own pace and apply your knowledge through practical assignments and quizzes at the end of each module. Our online platform allows you to access the course from anywhere and at any time, and you can also choose to receive the course materials by post.

When you complete each module, you will submit your assignments and quizzes online for marking. While there is no word count requirement for these assignments, we do expect well-thought-out and complete answers. Your tutor will provide constructive feedback and guidance on areas for improvement to help you achieve your best performance.

Once your assignments have been verified and assessed, you will be awarded a certificate of achievement from the Open Learning College. This certificate confirms that you have met all of the learning outcomes and assessment criteria for the Business Administration (Level 3), and demonstrates your competency and knowledge in this field.

Course Duration - How long will it take to complete the course?

To give an example, if you dedicate 3 hours per week to study,  it would take you one year to complete but if you could spare 5 hours a week you could complete it in six months.

Course Qualification - What qualification will I receive?

This is a dual-certification course and you will therefore receive two qualifications. This course is certified by Open Learning College via the Open Pathway Accreditation Programme.

This course leads to a Level 3 for successful learners. This means that it is independently accredited at a level of learning equivalent to level 3 on the Regulated Qualifications Framework (RQF) for England.

This qualification has been developed by Open Learning College to meet the specific needs of our learners and has been accredited by CPD demonstrating the learning activity has reached the required Continuing Professional Development standards and benchmarks.

The learning value has been scrutinised to ensure integrity and quality. The CPD Certification Service provides recognised independent CPD accreditation compatible with global CPD requirements.

Grading & How it Works

The UK has a unique higher education grading system. Its most unique feature compared to traditional grading systems is that it aims to be more specific in describing students’ academic achievement.

This type of assessment method is highly valued because it offers many advantages. Most importantly it highlights your academic strengths and specific skills, therefore, it helps employers gain a better understanding of your true potential.

Since it is proved to be such an efficient tool to assess students’ performance, many foreign countries like Canada, Australia and India are using the same grading system on some occasions with small changes to fit into their own local educational context.

We use a letter grade scale from A to F to indicate the students’ academic performance. If you get an A it means you have shown outstanding knowledge whereas if you get an F it means your score is not sufficient to pass the exam.

How does distance learning work?

To ensure studying is flexible and convenient, most of our courses are divided into modules. You work through each module at your own pace and time. Once completed, submit the test, quiz, or assignment for marking. The support period is dependent on the type of course you choose; our minimum support period is one year.

When can I start the course?

The answer is simple, when YOU want; you can start the course at any time we do not have any set enrolment dates. Most of our courses don’t requireany previous experience or qualifications. All you need is a desire and motivation to succeed. You can even start right now – call and speak to one of our Course Advisors.

How long does the course take?

This is dependent upon your choice of course and how fast you want to learn. A full breakdown of the course is available in the course brochure or online. We do provide estimated number of study hours; ask our course advisors for details.

Do the courses have tutorial support?

Yes, you will be allocated a tutor who specialises in your chosen subject and will guide you through the course, mark your assignments and generally help you with any problems you may have.

If I fail an assignment can I retake it?

Yes, your tutor will ask you to resubmit your assignment and give you support as to where you could improve.

How do I get help with my course work?

You can get help by submitting a question to your tutor via the online portal and by submitting your assignments for marking. You must send your assignments one at a time so the tutor can mark one and give you feedback.

Will I get a qualification at the end?

Our courses provide you with a dual certification upon successful completion of the course. You will receive an Open Pathway Accreditation (OPA.dip) from our college. The second qualification will be awarded by the Ofqual awarding body for the course.

Will I have to sit an examination?

Most of our courses do not require you to sit examinations, only continual assessments. Where there are examinations required, you will receive all the information you need to make your own exam arrangements. Please note exam fees are not included in your course fee, unless otherwise stated.

Do I have to buy any other materials?

Our comprehensive course materials are designed to be self-contained with all the relevant information you require to complete the course and gain the relevant certification. However, some of our students undertake additional reading via relevant textbooks/study guides and/or the Internet to add value to their studies.
